Less admin, more billable hours: productivity for service pros

A typical one-person firm spends 10 to 14 hours a week on things other than billable work. Halving that is worth roughly 200,000 SEK a year in extra capacity.

Here are the four places the time actually disappears, and what to do about them.

1. Route planning

Group jobs geographically. Book the north side of town on Tuesdays and the south on Thursdays instead of crossing the city four times a day.

Build five to eight templates for your most common jobs with ready text blocks, time estimates and material lists. A quote then takes three minutes instead of twenty.

3. Materials and van stock

• Keep a standard stock of your 30 most-used items in the van.
• Order in larger batches once a week instead of daily store runs.
• Photograph receipts immediately, never in a pile on Sunday.

4. Invoice the same day

Invoice the day the job finishes. It shortens payment time by an average of nine days and reduces questions about what was included.

Automate reminders. Chasing payments manually is the least valuable hour of your week.
